NEW! Transcript Generator Updates & Form Approvals


We are pleased to introduce new options for Program selection when generating Transcripts from the Student List and Student Profile / Academics / Courses / More Actions section. They are slightly different for each, but both have 2 new options:


1. Restrict to Program. Only courses in the selected programs will be displayed on the transcript as defined by the Program Components. Restrict to programs will restrict both Courses and Transfer Credits not used as part of the Student Program Audit.


Note: Overall and Session Cumulative values will not be shown using this option. This is because a Student may be Enrolled in more than one Program (Dual Program scenario) which would include all values and will not match up properly for the single Program values.


2. Skip Empty Sessions. Sessions with no courses will not be displayed on transcript. (The Student may be registered in the Academic Session, but have not been enrolled into Courses for it yet, this previously resulted in Empty Session appearing on the Transcript).


Student List -> Generate Transcripts


When generating transcripts for Students (in bulk) from the Student List they may be in different programs so there is no option to select which program to appear on the transcript except for 'Primary' or 'All'. If you select either of these you'll also get an option to Restrict to Program. If selected this will only include Program Courses as defined in the Program Components.


Student Academics -> Generate Transcript


Within the Student Profile / Academics / More Actions /  Generate Transcript you can select which Programs from a list of Programs the Student is Enrolled in to include in the Transcript. You can then also Restrict to Program and Skip Empty Sessions the same as above.


Form Approvals


There may be case where a Form requires approval. We have added Approvals for Forms to handle these scenarios.


Form Approval Process:


1. Add a New Form


When you add a new form and it requires approval, you can enable Approval for the Form. You can then select if the Approval User is fixed or select a User when adding the Form to Prospects or Students. The User you pick must have a valid email and can be any Staff User in your ampEducator account.


2. Student Signature


If enabled the Student Form Signature works the same way as it always has. However, when Approval is enabled Students won't be able to download the Form or get a copy of the Form emailed to them until Approval is complete.


3. Approval Email


One the Student submits (or submits and verifies Signature) the User approving the Form will get an email with URL Form Approval Link.


4. URL Form Approval Link


The URL Form Approval Link will lead the User to the Form. The Link is not the same as the Student Form Link and contains a separate approval area. At this point the status of the Form is 'Approval Pending'.


5. Approval Verification Link


Once approved the Form has a verification email sent with Approval Verification Link. The User must then click on this link to verify it.  The Form is also attached as PDF so the User can review / identify what they are approving.


6. Once verified the approval appears and the Student doesn't see the approval process. However once it's approved the Student will get a copy of the Form and be able to Download it if these features are enabled.
